While exhibiting at a trade show event is rewarding and generally great fun, it is very tiring. There is actually a certain time in the afternoon, when most team players could easily have a few minutes sleep; it's quite natural, but it obviously needs to be avoided.
You know that the team players you have selected are your most important asset, so it's important to get the most from your team. Over the last few months you have spent a lot of time together planning everything and making sure there aren't any last minutes problems so you have got to know them well and they have got to know you.
However, don't just assume everything will be fine; you need to have a pre-trade show meeting each morning of the show so you can incentivize your trade show team. You need to buoyant, even if you do feel tired; this will impart itself onto your team. Reiterate what each person's role entails; clarity is essential at this point and make certain your team members are clear as to what you are expecting from them during the day. Check that everyone is knowledgeable about the company's products and services.
One key area to incentivize your team is to remind them how important they are to making the trade show a success. Basically, it wouldn't happen if they weren't involved. Now remind about the rewards you have on offer; these may include a reward for the most new business leads, or the most referrals. There are many rewards you can offer for achieving certain things. However, do make sure that your tem know that everyone will be getting a reward at the end of the show if it is a success. A special dinner always goes down well after a couple of hard days working a trade show booth.
While it's great to have a reasonably relaxed attitude between all the team members it is important that it doesn't get too friendly, especially during the exhibition. Once you get to the booth make sure a professional stance is taken on. Make sure your team are ready to meet people; don't allow them to group together, if gives a poor impression.
Make sure you have pre-arranged break times for your team. Don't allow them to stand around the booth for too long without eh chance to grab a coffee and something to eat.
During the day, move around your team and check that everything is fine. If there are any issues, try to resolve as quickly as possible; you don't want them to fester as this will affect their ability to undertake the task properly. It will also mean that your team will become less incentivized which is not what you want.
Once the day has ended, ensure you arrange to have a meeting with your team to go over everything and, if you are exhibiting the next day it's a chance to make any minor changes.
